Refund & Cancellation Overview

This Refund and Cancellation Policy governs the payment, renewal, cancellation, and data retention practices related to the services provided by VidyaSetu and its associated ERP software solutions, applications, and digital services.

By subscribing to or using our services, clients acknowledge and agree to the terms outlined below.

1

Non-Refundable Payments

All payments made to VidyaSetu are strictly non-refundable under any circumstances, including but not limited to:

  • Installation fees or setup charges;
  • ERP subscription fees;
  • Renewal charges;
  • Customization or development charges;
  • Third-party subscription fees;
  • API integration charges;
  • SMS, WhatsApp, payment gateway, hosting, domain, or other third-party service charges;
  • Any additional service, support, or implementation fees.

Once payment has been processed, no refund, partial refund, adjustment, or credit shall be provided regardless of service usage status, discontinuation, dissatisfaction, or account termination.

2

Cancellation of Services

Clients may choose not to renew their ERP subscription or discontinue services at any time. However, such cancellation or non-renewal shall not entitle the client to any refund of previously paid amounts.

Upon cancellation or expiration of services:

  • Access to the ERP platform and associated services may be suspended or terminated;
  • Certain features, integrations, or stored data may become inaccessible.
3

Data Retention and Backup Policy

In the event that a client does not renew the ERP subscription or related services:

  • VidyaSetu will retain a backup of the client’s data for a maximum period of 30 (thirty) days from the date of service expiration;
  • After completion of the 30-day retention period, the data may be permanently deleted from our systems;
  • VidyaSetu shall not be responsible or liable for restoration, recovery, or retrieval of data after the retention period expires.

Clients are advised to obtain and securely store necessary backups before service expiration.

4

Renewal Notifications

VidyaSetu will make reasonable efforts to notify clients regarding upcoming service renewals, including:

  • At least one notification approximately 30 days before renewal due date;
  • A final reminder approximately 7 days before service expiration.

Notifications may be provided through phone calls, email communication, system notifications, or other available contact methods.

Failure of the client to receive or respond to such notifications shall not create any liability or obligation on VidyaSetu.

5

SLA and Additional Terms

Additional service conditions, uptime commitments, support scope, responsibilities, limitations, and operational terms shall be governed separately under the applicable Service Level Agreement (SLA) or contractual agreement executed between VidyaSetu and the client.

In case of any conflict between this Policy and the SLA, the SLA terms shall prevail to the extent applicable.

6

Modification of Policy

VidyaSetu reserves the right to modify, update, or revise this Refund and Cancellation Policy at any time without prior notice. Updated versions shall become effective immediately upon publication on the Platform.
